1. Who is responsible for your information
Rolematic is a service for monitoring job openings at companies you select. The data controller responsible for this service is Anzhelika Oganova IE, 140 Antarain St, Yerevan 0009, Armenia.
For privacy requests, contact privacy@rolematic.app.
2. Information we collect
- Account and authentication: your email address, internal account identifiers, sign-in/session records and essential authentication cookies.
- Consent and legal records: the versions and timestamps associated with your acceptance of the Terms & Conditions and acknowledgement of the Privacy Policy, plus any optional marketing-email consent you choose to provide.
- Search preferences: job titles, seniority, selected companies, locations, remote/relocation preferences, and email frequency.
- Monitoring and matching: saved search profiles, monitoring-period status, job matches, relevance scores and job results shown in your dashboard.
- Email operations: information needed to deliver updates, such as recipient address, message identifiers, delivery or error status, and unsubscribe choices.
- Support and feedback: messages you send us, feature suggestions and any optional feedback you choose to submit.
- Technical and safety information: limited server, security and diagnostic logs generated by the app and the infrastructure serving it.
- Payment information: plan and billing status, amount, currency, payment-provider identifiers, and limited payment-method information made available to us by the payment provider. Rolematic will not collect or store full payment-card numbers or card security codes; those details will be handled by the payment provider.
Rolematic is not designed to collect your CV, submit applications on your behalf, or predict your likelihood of being hired. Please do not send sensitive personal information through the support address unless it is necessary for your request.
Where we get information: we receive information directly from you when you create an account, configure a search, contact support or provide feedback; automatically when you use the service, for example through authentication, session, security and delivery records; from service providers that support the operation of Rolematic; and from publicly available sources such as company career pages and job listings that Rolematic monitors for openings.
3. How and why we use information
- Provide the requested service: create your account, save searches, collect public job openings, evaluate matches, show results and send selected notifications.
- Operate and protect the service: authenticate users, avoid duplicate messages, diagnose failures and prevent misuse.
- Respond to you: handle support questions, data requests and feedback.
- Process payments: create and manage paid access, confirm payment status, prevent payment abuse and maintain records required for billing, accounting or legal purposes.
- Send optional marketing: send Rolematic product news, offers or other marketing only where you have separately opted in or where another lawful basis is available under applicable law.
- Comply with the law: meet applicable legal or regulatory obligations.
Where the GDPR applies, the main legal basis for account, search, monitoring and service emails is generally performance of our agreement with you. We may rely on legitimate interests for proportionate security, fraud prevention and service diagnostics, and on legal obligations when required. Where consent is required for marketing or non-essential tracking, we will ask for it separately and you can withdraw it at any time.
Automated matching: Rolematic automatically evaluates and ranks job openings against the search settings you provide, such as job title, seniority, selected companies, location, remote and relocation preferences. The relevance score reflects how closely a vacancy matches those settings. It is not a prediction of your likelihood of being hired and is not used to make decisions that produce legal or similarly significant effects about you.
4. Email preferences and unsubscribing
Job-update emails are part of the monitoring service you request. You can change their frequency or turn them off in your search settings. New Rolematic job-update emails also include an unsubscribe link. Unsubscribing stops future job-update emails for the relevant search profile; it does not by itself delete your account or stop your monitoring dashboard. A message already accepted by an email provider may still arrive.
Marketing emails, if introduced, will be optional and managed separately from service emails. You can withdraw marketing consent or opt out of marketing emails without losing access to Rolematic. Security, authentication and directly requested support emails may still be sent when necessary for the service.
5. Service providers and third-party sites
We use third-party service providers to operate Rolematic, including providers for cloud hosting and data storage, authentication, email delivery, customer support, security and diagnostics, job-source retrieval, and payment processing. They receive only the information reasonably necessary to perform their services for us and are subject to their own contractual and legal obligations.
Payment-card details will be collected and processed by the selected payment provider rather than stored directly by Rolematic. We may receive transaction information needed to confirm payment, manage access, handle refunds or disputes, and meet accounting or legal requirements.
No sale or behavioural advertising: Rolematic does not sell your personal data and does not share your personal data for cross-context behavioural advertising.
When you follow a job link, you leave Rolematic for an external career website. That website has its own privacy practices, which we do not control. Rolematic does not represent those employers.
6. Cookies and similar technology
Rolematic currently uses cookies or equivalent storage that are necessary for passwordless sign-in, maintaining your authenticated session, security and core service functionality. We do not currently use advertising cookies or non-essential analytics cookies in the verified app.
Strictly necessary cookies do not normally require consent under applicable EU/UK cookie rules, although we still explain their use here. If we introduce analytics, advertising or other non-essential tracking, we will provide appropriate notice and consent controls before those technologies are activated where required by law.
7. Data retention and account deletion
We keep account, search and monitoring information while your Rolematic account remains open and as needed to provide the service. You can request account deletion at any time by emailing support@rolematic.app or privacy@rolematic.app. We may ask you to verify control of the account before deletion.
After a verified deletion request, we aim to remove active account, search and dashboard data within 30 days. Residual copies may remain in backups for up to 90 days before being overwritten or deleted. Security and diagnostic logs are generally retained for up to 90 days unless they are needed for investigating an incident. Support correspondence may be retained for up to 24 months after the request is resolved.
Email delivery records and unsubscribe information may be retained for up to 12 months, or longer where a limited record is necessary to honour an opt-out, investigate delivery abuse or comply with law. Transaction, tax or accounting records may be retained for the period required by applicable law even after account deletion.
8. International processing and security
Rolematic is operated from Armenia and some service providers may process data in other countries. This means your information may be processed outside the country where you live. Where applicable data-protection law requires specific safeguards for international processing or transfers, we will use the appropriate legal and contractual mechanisms.
We use technical and organisational protections appropriate to the service, but no online system can guarantee absolute security. Please contact us if you believe your account or information has been compromised.
9. Your privacy choices and rights
Depending on where you live and the laws that apply, you may be able to request access to, correction of, deletion of, restriction of or portability of your personal data, or object to certain processing. You may withdraw consent where consent is the relevant legal basis. Where applicable law provides this right, you may lodge a complaint with the competent data-protection authority.
Contact privacy@rolematic.app to make a request. We may need to verify your identity before disclosing or changing account information. Rights and exceptions depend on applicable law.
10. Changes to this policy
We may update this policy when our product, providers or legal requirements change. We will display the current effective date and provide additional notice when legally required.
